Description : GENERAL DESCRIPTION: This position involves working independently, performing a wide range of complex and confidential customer relationship and project coordination tasks. It requires excellent communication skills and strong organizational skills as well the ability to focus on details and prioritize among multiple concurrent tasks. Responsibilities: The primary goal is to facilitate timely and accurate communication among Teletrol functional groups, partners and strategic customers by: ·Extracting relevant data from customer’s sales orders and/or customer’s work order system and enter it in Teletrol order processing and data management systems ·Developing and maintaining spreadsheets and/or databases to track status of all strategic customer projects throughout their life-cycle ·Answering and routing phone calls from strategic customers and partners ·Maintaining customer interaction email correspondences, as required ·Maintaining accurate project files including electronic documents and physical documents, organized according to Teletrol internal process specifications ·Assisting in the continuous improvement of Teletrol internal process specifications. ·Verifying/auditing material management and shipping functions ·Generate electronic project documentation packages and circulate to relevant parties .Monitoring departmental budgets, including tracking expenditures, providing reports and preparing spreadsheets as needed ·Assisting in scheduling, training, and oversight of visiting customers and partners ·Assuming responsibility for a variety of other document development, information management and administrative tasks, as assigned Education and Qualifications: The successful candidate will have a combination of the following skills, knowledge, and experience. ·Thorough knowledge of office management practices and procedures ·Outstanding written and verbal communication skills ·Excellent command of telephone etiquette ·Very effective conflict management skills ·A minimum of 5 years experience in executive assistant, project coordinator, inside sales or customer service roles required, 10 years experience preferred ·At least five years of experience using Microsoft Windows, including Microsoft Office Suite ·Ability to create and maintain spreadsheets and/or databases, as well as create and generate useful reports from them ·Strong organizational and project management skills, ability to multi-task and meet deadlines ·High level of attention to detail ·Must be a team player ·Requires flexibility, tact, determination, and sensitivity ·College degree in business management, preferred but not required
